    Choose a free day and time for booking a meeting room
    If you wish, you can change the date, time and meeting room in the pop-up with a detailed description.

    Enter the meeting details
    Don't forget to give the name of the meeting that will be displayed to other participants, you can set the recurrence of the meeting and set the dates of future bookings as needed.

    Add members
    From the list, select the members of the hub who will participate in the meeting, they will automatically receive a notification, as well as a display in their personal calendar about the new meeting.

Customers can make a booking for a meeting room through their customer portal or on your website. They can view the shared calendar to check the availability of the meeting rooms in real-time. Once they find an available slot that suits their needs, they can select the time and duration, and then proceed to confirm the booking. You can also use the same calendar to make a booking on behalf of a customer.

Customers can pay for a meeting room booking through the integrated payment gateway in the customer portal. Various payment methods are supported, including credit/debit cards, SEPA payments, and digital wallets. Upon successful payment, the booking is confirmed and a receipt is sent to the customer via email.

If you prefer to review bookings before they are finalised, you can enable a booking approval process. When a customer makes a booking, it will be marked as pending until you or an authorised hub manager reviews and approves it. Notifications will alert you to pending bookings, and you can approve or reject them through the admin panel.

Customers can request cancel or modify their bookings through the online portal, subject to your cancellation policy. They can view their upcoming bookings, select the one they wish to change or cancel, and follow the prompts to make adjustments. If a refund is applicable, the system will process it according to your terms and conditions. The option for customers to request to cancel through their portal is a setting you can control.

You can take various types of bookings for meeting rooms, including:
  • 15 minute or 30 minute booking increments.
  • Hourly Bookings: Customers can book a meeting room for a specific number of hours.
  • Half-Day Bookings: Customers can reserve a meeting room for a half-day session.
  • Full-Day Bookings: Customers can book a meeting room for a full day.
  • Customizable: You can create your own customised booking slots.
  • No minimum booking duration: You can opt in or out of a minimum booking duration.

Yes, hub managers have the ability to make bookings on behalf of people. They can access the shared calendar, select available slots, and create bookings for existing members. This feature is useful for assisting customers who prefer not to use the online portal themselves.

When making a booking on behalf of someone, hub managers can mark the booking as payable or free directly in the booking interface. They can select the appropriate option based on the customer’s membership status, promotional offers, or any other criteria. This flexibility ensures that all bookings are accurately reflected in the system.

The shared calendar provides a real-time view of all meeting room bookings, making it easy to see availability and avoid double-booking. Both customers and hub managers can view the calendar to check open slots and existing reservations. The calendar updates instantly with any new bookings or changes.
