A customer can make a booking by logging into your coworking space’s online portal or by booking through your website. They can view available desks, plans and bundles in real-time. After confirming their selection, they can proceed to the checkout to finalise the booking. The booking process can be automated or you can set up a review process where you can approve or reject bookings before payment is taken.

Customers can pay for their desk booking through the integrated payment gateway in the online portal. The system supports various payment methods, including credit/debit cards, SEPA payments and digital wallets. Once the payment is processed, the booking is confirmed, and a receipt is sent to the customer via email. The customer will receive booking reminders for their upcoming booking.

If you prefer to review bookings before they are finalised, you can enable a booking approval workflow. When a customer makes a booking, it will be marked as pending until you or an authorised staff member reviews and approves it. Notifications will alert you to pending bookings, and you can approve or reject them through the admin panel. Once you approve the booking, the customer will be prompted to pay to complete the booking.

Customers can request cancel or modify their bookings through the online portal, subject to your cancellation policy. They can view their upcoming bookings, select the one they wish to change or cancel, and follow the prompts to make adjustments. If a refund is applicable, the system will process it according to your terms and conditions. The option for customers to request to cancel through their portal is a setting you can control.

You can take various types of bookings for desks, including:
  • Daily Bookings: Customers can book a desk for a full day.
  • Weekly Bookings: Customers can reserve a desk for a week.
  • Monthly Bookings: Customers can secure a desk on a monthly basis, ideal for longer-term needs. There is a 1 month, 2 month, 3 month, 6 month and 12 month option.
  • Recurring subscriptions: set any of the monthly options above to be a recurring payment. Customers will automatically be charged at the start of each billing period.
  • Virtual Memberships: Create virtual plans for things like memberships. These types of plans don’t have a physical capacity, since no seats are physically booked.
  • Offices: If you have private offices you can lease these for 1 month or longer.

For walk-in customers, you can manage bookings directly from the admin panel or front desk. You don’t need to direct the customer to your website, instead use our handy onboarding wizard to create an account for this person, and assign a desk plan. You and your staff members can check real-time availability, make bookings, and process payments on the spot. The system allows you to quickly add walk-in customers to the database, ensuring they receive a confirmation and receipt via email or print.
